Setting a Realistic Integration Build Out Timeline

When it comes to HubSpot CRM integrations, there is no “one-size-fits-all.” Because not every integration is the same, it’s important to have realistic timeline expectations.

Below is a general overview of realistic integration timelines. These timelines are also similar to what you can expect when working with our SyncSmart team.

Out of the Box Integration Timeline

 Let’s first cover what an out of the box integration is. An out of the box integration is one that utilizes standard entities. For example, Dynamics 365 has Leads, Contacts, Accounts, and Opportunities. These are considered standard entities and can to sync to HubSpot with an out of the box integration. While an out of the box integration works for most, our SyncSmart team still provides a very hands-on approach in order to understand your businesses processes better, how the integration needs to be built to meet your needs, or achieve your future data goals. With that said, our dedicated integration team may break down the timeline for an out of the box integration into 6-8 weeks with the following phases:

  • Two weeks of onboarding. This includes a kick-off call, gathering credentials, and a Sync Logic call (more technical call discussing how the integration works). During this phase, you’d be required to provide the SyncSmart team with items such as any filter logic and necessary custom field mappings.
  • Two weeks to build and internally test. This phase involves the SyncSmart team building out your integration to spec and performing their quality control tests.
  • One to two weeks user acceptance testing (UAT). This phase allows your team to review the sync in real time before the launch. It’s a great time for you to monitor/test the integration as needed. It’s also a great time to write any documentation you may need to provide to your team regarding integration processes and procedures, or even how the integration works.
  • One week for initial sync (historical sync) and launch. The initial sync syncs all qualified records from one system to the other. The system of record, which is typically CRM, will sync to HubSpot first, then HubSpot will sync to CRM. This type of historical sync ensures the two systems are mirrored together as closely as possible.

Custom Integrations

 Custom integrations are ones in which custom entities need to sync, or custom sync logic needs to be in place. More custom integrations should follow the same timeline phases as an out of the box integration, but you should anticipate the timeline for a custom integration to take longer during each phase. Our SyncSmart team typically sees an average custom integration launch in 90 days.

If you already have a highly customized CRM, integrating it with HubSpot may also take additional time to get the correct information to HubSpot. However, SyncSmart will never make you change your CRM and will spend the appropriate time with your team to understand your customized system so the appropriate integration is built out for you.
